5 Ways My iPhone Keeps Me Organized as a Busy Mom
I used to think my iPhone was just for calls, texts, and the occasional photo of my kids being goofy. But over time, it’s become one of my most important tools for keeping family life, work, and all the moving pieces in balance. The best part? I’m not using anything fancy—just built-in features most of us already have, plus a few smart tweaks.
Here are five ways I use my iPhone every single day:
1. Shared Calendars
In our house, Google Calendar is the backbone of staying organized. Everyone has a color-coded calendar—work, school, practices, and appointments—and they’re all synced across devices. We also connect them to our Skylight Calendar in the kitchen, which acts as our family hub. No more “Mom, what are we doing today?”—the answer is right there for everyone to see.
2. Reminders for Recurring Tasks
Instead of relying on paper to-do lists that get lost in the shuffle, I use the Reminders app to set up recurring tasks. The things that happen every day, week, month, or year—like “take out the trash,” “pay bills,” or “renew sports registration”—are all set to repeat automatically. Then I layer in one-time reminders as they come up. Having everything in one place means I don’t waste time rewriting lists or worrying I’ll forget something important.
3. Google Docs for Shared Projects
The Google Docs app has become one of my favorite tools for managing everything from travel research and itineraries to school projects and event planning. Instead of emailing versions back and forth or losing track of paper notes, I keep everything in shared documents that multiple people can edit in real time. Whether I’m planning a vacation, organizing a troop outing, or coordinating a family project, having shared docs accessible from my iPhone means everyone stays on the same page—literally.
4. Medication Tracking in Apple Health
The Apple Health app makes it easy to track medications, vitamins, or supplements with built-in reminders and a simple, visual checklist. I love that it connects directly to my Apple Watch, so even if my phone isn’t in my hand, I get a gentle nudge right on my wrist. For busy mornings or chaotic evenings, it’s a small but powerful way to make sure nothing important slips through the cracks.
5. Activity Rings + Rewards
Closing my Apple Watch activity rings each day is one of my favorite motivators to stay active. I track my step count, movement, and sleep, and it’s all connected to my health insurance app, which actually rewards me with money for hitting daily and annual goals. Ten thousand steps, eight hours of sleep, my annual physical, and even my mammogram—every checkmark adds up. It’s accountability, encouragement, and a little extra cash all rolled into one.
The iPhone can’t fold the laundry (yet), but it can make daily life a lot more manageable. And for me, that’s the difference between feeling constantly behind and feeling like I’ve got at least a little breathing room.
I recently made the switch from Android to Apple, so I’m just getting started with all the new tools. The truth is, I was able to do most of these things on my Android too—so no matter your operating system, these tips are universal.
